Who handles your information

Sparta Vista handles information you provide for its programs and inquiries. Contracted hosting, communications, and CRM providers—including HubSpot for contact intake and requested resource delivery—may process information to support those services. Contact Sparta Vista with questions about your records.

Information we collect and why

• Contact and registration information: name, email, telephone number, scheduling details, consent records, and messages, used to respond, register you, and provide requested follow-up.
• Veteran career information: resume, military occupational specialty or duty experience, military education and experience, civilian education, certifications, skills, work preferences, career interests, location, compensation goals, and Mission Decisions results, used to translate experience, develop a career profile, recommend pathways, and support authorized introductions.
• Employer information: business contact details, company, role, company size, hiring locations, recurring role families, requirements, and hiring needs, used to qualify an employer opportunity, respond, and evaluate a pilot.
• Website and security information: browser, device, referring page, pages visited, approximate location derived from an IP address, and security logs, used to operate, secure, troubleshoot, measure, and improve the service.

Guide signup and self-service tools

The optional free-guide form collects your email and any name you provide through Sparta Vista’s HubSpot account. The V.I.S.T.A. Field Guide is available as an immediate download; completing the form is not required to access it. Resource-update emails require a separate opt-in. The journey quiz processes your answers in the current page and does not submit or save them between visits. When you request the 90-day action plan, we collect your email, required phone number and any name you provide to deliver the requested resource and maintain your request. Phone collection does not authorize automated texts. Our VA disability, SSDI, career, next-steps and general contact forms collect required first name, email and phone; the form you choose identifies the requested support path so our team can respond. These requests do not enroll you in marketing or authorize outside referrals. Do not submit medical, claim, financial or identity records through these initial forms. Completed downloadable workbooks stay under your control and are not uploaded to Sparta Vista.

Career matching and human review

Career recommendations may use rules, occupational data, and automated tools to compare a veteran’s experience and preferences with career pathways or employer needs. Mission Decisions is an exploratory preference exercise, not a clinical, diagnostic, or validated employment-selection test. A result does not guarantee suitability, an interview, employment, compensation, or success.

Sparta Vista does not intend employers to use Mission Decisions or an automated match as the sole basis for a hiring decision. Before an employer introduction, a person should review the profile and match explanation. Veterans may request correction of profile information and an accessible alternative to any assessment experience.

Claims, medical, and disability information

Career-service records are kept operationally separate from veteran benefits, claims, and medical records. We do not use claims, medical, or disability information to rank, screen, or match a veteran for employment. Do not submit Social Security numbers, financial credentials, medical records, disability documentation, claim files, or other highly sensitive information through general website or career-interest forms. If a separate service requires sensitive information, it must use an appropriate secure process and separate notice.

When information is shared

We may share information with contracted service providers only as needed for the purposes described above. Providers may include website hosting, CRM, communications, scheduling, analytics, security, and professional advisers. A veteran’s career profile is shared with a prospective employer only through an authorized career-services process. We may also disclose information when legally required, to protect rights or safety, or in connection with a merger, financing, sale, or transfer subject to applicable law.

We do not sell personal information for money and do not share it for cross-context behavioral advertising.

Text messages, consent and email

Providing a phone number or submitting a form does not by itself consent to automated texts. Case-intake forms offer a separate, unchecked, optional choice for nonmarketing automated alerts, notifications and reminders about your request or case progress. Consent is not a condition of purchase or receiving services. The 90-day-plan request is for one requested-resource email and does not enroll you in case texts or marketing.

SMS service is not active yet. Automated texting will not begin until the sending setup and consent, STOP and HELP handling have been verified. If activated for opted-in contacts, message frequency will vary; message and data rates may apply. Reply STOP to stop texts or HELP for help. Mobile information and text-message opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes. Contracted messaging providers may process this information only as needed to provide the requested messaging service. We keep consent and opt-out records to honor your choices. Please do not include medical, claims, identity or financial records in text messages.

Requested-resource email delivery is separate from marketing email. Marketing messages require a separate opt-in; use their unsubscribe link to opt out. Service messages are limited to the request and applicable permissions.

Cookies and analytics

The site and its providers may use cookies or similar technologies needed for operation, security, preferences, measurement, and improvement. Browser settings can limit cookies, although some features may not work as intended. If we later use advertising or nonessential tracking that requires a choice under applicable law, we will provide the required controls.

Retention and security

Information is retained only as long as reasonably necessary for the purposes described above and for legal, accounting, security, and dispute-resolution needs. The participating entities should maintain written retention schedules and require contracted providers to delete or return information when their services end, subject to lawful exceptions. We use reasonable administrative, technical, and organizational safeguards, but no internet transmission or storage system is completely secure.

Your choices and privacy rights

You may ask to access, correct, or delete personal information maintained about you, request a copy, withdraw consent, or opt out of marketing. Depending on where you live, you may have additional rights, including rights to limit certain uses, opt out of sale or sharing, or appeal a denied request. We may verify identity before acting, and lawful exceptions may apply. We will not discriminate against you for exercising a privacy right.

Children

The services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this policy as services, vendors, agreements, or legal obligations change. The effective date above identifies the current version. Material changes will receive additional notice when required.
